1. BOOKING POLICY

Booking Fee: A non-refundable administration fee of R2,000 is included within your deposit. This fee covers the administrative costs of securing your booking and is not refundable under any circumstances.
Deposit: To secure your reservation, a deposit of 50% of the total retreat price is required.
Balance Payment: The remaining 50% balance must be paid no later than 60 days prior to the retreat start date.
Late Bookings: Reservations made less than 60 days before the retreat require full payment (100%) at the time of booking.
Failure to Pay: If the balance is not received by the due date, Elevate Retreats reserves the right to cancel your booking and retain the deposit.

2. CANCELLATION POLICY

We do not offer credit for arriving late or leaving early. Exceptions to this policy cannot be made for any reason (including illness, injury, or personal emergencies).

Cancellation > 60 days before start date: You will be refunded your total payment minus the R2,000 non-refundable booking fee.
Cancellation 31 – 60 days before start date: The 50% deposit is forfeited. If you have paid the full amount, the 50% balance will be refunded.
Cancellation < 30 days before start date: 100% of the trip cost is forfeited. No refunds.

3. TRANSFER & CHANGES POLICY

Guest Changes: You may transfer your booking to another specific retreat date up to 45 days prior to your original start date, subject to availability. A Transfer Fee of R1,000 will apply.
Replacement Guest: You may transfer your spot to another person (friend/family) up to 14 days prior to the retreat without penalty, provided the new guest meets the fitness requirements and agrees to these T&Cs.

4. MANDATORY TRAVEL INSURANCE

It is a condition of booking that all guests must have comprehensive travel insurance. Elevate Retreats is not in the business of providing insurance products.

Requirement: Your policy must cover personal accident, medical expenses, emergency repatriation, and cancellation for any reason.
Liability: You acknowledge that Elevate Retreats is not liable for any costs incurred due to your failure to arrange suitable insurance coverage.

5. THIRD PARTIES & ITINERARY CHANGES

Third Parties: Elevate Retreats acts as a facilitator. We are not responsible for the actions, omissions, or service modifications of third-party suppliers (including venue partners, independent guides, or independent transport providers).
Force Majeure: If Elevate Retreats is forced to postpone a retreat due to circumstances beyond our control (e.g., pandemic restrictions, natural disasters, war), you will be issued a 100% Credit Voucher to use on a future retreat. We are not responsible for non-recoverable expenses you incurred (e.g., flights).

6. HEALTH & CONDUCT

Fitness: You confirm that you are in good physical health. Elevate Retreats reserves the right to decline a booking if we feel the intensity of the retreat is unsuitable for a guest's medical condition.
Conduct: We have a zero-tolerance policy for harassment, illegal drug use, or behavior that disrupts the group dynamic. Elevate Retreats reserves the right to remove a guest from the retreat at their own expense if this policy is violated.

7. ROOM CONFIGURATION

Shared Rooms: If you book a "Shared Room" (Twin Share) as a solo traveler, we will pair you with another guest of the same gender.
Roommate Cancellation: If your assigned roommate cancels, you will not be charged the single supplement. Elevate Retreats will bear this cost or move you to a private room at our discretion.

8. MEDIA RELEASE I hereby grant Elevate Retreats the absolute right and permission to use photographic portraits, images, or videos in which I appear that are taken during the course of the retreat for marketing and commercial purposes. If you wish to opt-out, please inform us in writing prior to arrival.

9. GENERAL WAIVER You acknowledge that you participate voluntarily in all activities. Insofar as is legally permissible, you surrender your right to any cause of action against Elevate Retreats arising from any loss, injury, or damage to person or property that occurs during the retreat.
